Description: Reporting to the Events and Conference Services (ECS) Administrator, the Administrative Assistant performs in a key front-line position at the main customer service desk in the Roderick Mah Centre for Continuous Learning (RMCCL). The Administrative Assistant provides general reception and administrative duties and provides accurate and timely information to the public about courses, programs, events, and services offered through Mount Royal University. The incumbent must be knowledgeable with all aspects of the Faculty of Continuing Education and Extension, Events and Conference Services, and the RMCCL facility. This position provides administrative and organizational support to the entire ECS team as well as the RMCCL building. This position works closely alongside another Administrative Assistant who shares identical duties with respect to front desk coverage, customer service and administrative support. This position often receives direction from multiple individuals within the ECS department.
 
Duties: • Performs the opening and closing procedures of a front line customer service desk as per specified business hours in a consistent and reliable manner
• Acts as a key point of contact for the Faculty of Continuing Education and Extension at the ECS customer service desk located in the Roderick Mah Centre for Continuous Learning
• Greets and assists visitors, students, or staff, expected and unexpected, with general questions and inquiries
• Provides direction to the physical location of offices and personnel within the institution
• Provides accurate and timely information to the public on information regarding Events and Conference Services activities, courses, programs, and services offered by the Faculty of Continuing Education and Extension
• Corresponds with internal departments and contacts to facilitate meeting and event bookings
• Obtains preliminary event inquiry/booking information via telephone, e-mail, or in-person for external bookings and forwards information to the appropriate ECS team member
• Assists area staff in routine administrative tasks (eg. preparation of event directory, filing, processing documents, taking meeting minutes, maintaining databases, compiling special reports and other administrative tasks as assigned)
• Utilizes special software for obtaining program information and assisting with booking facilities
• Provides on-site assistance with programs, conferences, special events, and meetings - eg, room setup checks, preparation and placement of conference signage, audio-visual or other related equipment and supplies, food service checks, coat check, etc.
• Reports building maintenance, equipment and support service issues when necessary
• Ability to work flexible hours on occasion with appropriate notice
• Ability to work both independently as well as within a team environment
• Ability to use independent judgment and trouble shoot/resolve issues and complaints
 
Qualifications: • 6 – 12 months experience as an administrative assistant in a fast-paced environment
• Minimum one-year post secondary certificate/program completion
• Exceptional customer service and telephone skills
• Strong verbal and written communication skills
• Excellent time management, multi-tasking and organizational skills
• Experience in a front line customer service position
• Friendly, positive, and professional demeanor
• Intermediate or higher level computer skills in MS Office applications including Word and Excel
