Description: The administrative assistant will provide support for the Faculty of Teaching and Learning, Office of the Dean.

HOURS/SCHEDULE:
• 20 hours per/week with days and hours to be determined with the successful candidate
• 11 month/year (off July 1-31)
 
Duties: May include but are not limited to:
• Administrative assistance for the Dean’s office on a day-to-day basis as requested, as well as during vacation periods
• Committee meeting support: scheduling, room bookings, agenda package preparation and distribution, recording and transcribing meeting minutes
• Assisting the Dean’s office with coordination and implementation of cross-institutional initiatives
• During the Dean’s Assistant’s vacation, managing the Dean’s schedule including calendaring, booking of meeting spaces and related arrangements
• Travel arrangements, including conference registrations, air and hotel bookings, pre-travel authorizations and expense reports
• Event planning, including promoting events, registrations, coordinating logistics for meetings/workshops and seminars/special events
• Addressing questions, inquiries, information requests
• Budgetary monitoring and financial transactions
• Website maintenance, as required (training available)
• Expense reports and financial transactions
• Other duties as assigned
 
Qualifications: • Two year diploma and/or relevant experience
• Three to five years administrative support experience, ideally in a university setting
• Proficiency with MSOffice (Word, PowerPoint, Excel)
• Excellent time management and prioritization skills
• Strong communication and interpersonal skills
• Adaptability, flexibility, initiative and creativity
• Ability to work with a variety of individuals including students, faculty, staff, administrators
 
Salary: $22.91 - $24.79 hourly (depending on experience)
