Description: This position provides administrative services for the Community & Health Studies area. A large percentage (50%) of the role supportsthe Program Director directly. This is achieved through a combination of communication functions: written, verbal and in person; performing clerical functions as well as general office administration, budgetary processes and the preparation of instructor contracts.
 
Duties: Duties include:

• Provide excellent customer service
• Compose letters, memos, agendas, notice of meetings, minutes, letters of agreement and prepare instructor contracts
• Liaising with campus departments such as printing, catering, bookstore and mailroom
• Compiling statistics and special reports on a regular basis
• Coordinating and scheduling of Program Director’s appointments, events, travel, and meetings
• Working on special projects under the direction of the Program Director
• Answer a high volume of telephone/in person requests and provide detailed course/enrolment information, etc. via phone, mail, fax, e-mail
• Receive visitors scheduled to meet with programming staff
• Attend meetings as requested and take minutes
 
Qualifications: • Grade 12 diploma or equivalent
• Office Assistant/Administrative Assistant program or equivalent experience
• Four years’ Administrative experience
• High level of initiative
• Excellent communication, organizational and interpersonal skills
• Strong computers skills in the MS Office Suite
• Ability to prioritize, process and meet deadlines for a high volume of work while dealing with constant interruptions
• Hours of work are 8:30 a.m.-4:30 p.m., Monday- Friday
 
Salary: $1,614.50 semi-monthly
