Arrange to meet at an agreed upon time, advising the student of the reason for the meeting, so they have time to prepare. Be as flexible and accommodating as your schedule permits. Inform the student that they are welcome to bring a support person or an attendant from the Student Association, and if applicable, your intent to have a colleague present - i.e. your chairperson or Security Services (if needed). Encourage the student to access and review this site or contact the Student Association or the OSC before the meeting .If you would like some advice regarding what would be an appropriate sanction, please consult the OSC or ask your Chairperson for input.

At the confidential meeting
Provide a brief description and any other additional evidence that will be useful for the student.

  1. Give the student an opportunity to respond; they may present a reasonable explanation or, alternatively, may take responsibility for the infraction.
  2. If you determine that a violation has occurred, inform the student that you are obligated to report the infraction to the OSC and provide full disclosure on what the recommended sanction will be.


After the meeting

  1. Submit the electronic misconduct report form, any source documents, assignment instructions and your course outline to the OSC.
  2. The OSC will review the incident and may contact you if further information is needed. A one on one meeting will be scheduled with the OSC and the student.
  3. If the student has had any other recorded academic incidents, or if it is determined that the incident was particularly egregious, a panel may be called and you will be required to participate in the panel hearing.

If you witness a possible incident of non-academic misconduct, please contact Security Services at 403.440.5900. Security can file a non-academic incident report and can ensure your safety until an official decision or resolution is ready.

If security is filing the incident report, you may be asked to submit your version of the non-academic incident by completing a witness statement.

If you are filing a non-academic incident report fill in the electronic non-academic incident report form and attach any documentation to the form.
