Facilities Management’s Space Planning & Management team supports departments with office moves, space reconfigurations, furniture planning, and workspace improvements. We assess spaces, provide interior design support, and determine when upgrades or renovations need to become larger capital or renewal projects.

- Data and power coordination with ITS
- Vendor and contractor coordination
- Determining when requests require renovations or project involvement
- Priority accommodation-related changes (HR and Accessibility Services)
How to Start a Request
All space or furniture changes begin with a Facilities Work Request.
Please include:
- A description of your request
- Number of people involved
- Any timelines or constraints
- Photos or drawings, if available
- Any furniture needs

Phase 1: Plan & Assess
- Submit a work request
- FM site visit for measurements and conditions
- Infrastructure verification (HVAC, power, data)
Phase 2: Design & Approve
- Layout development and approval
- Budget approval by department
Phase 3: Execute & Implement
- Install data/Power
- Procure new items
- Install & handover

Critical Timelines & Constraints
- New furniture procurement: 6–12 weeks
- Simple moves: up to 2 weeks
- Moves requiring data or power: 3–6 weeks
- Official accommodation requests take priority
Please plan ahead. Lead times vary depending on supply chains, contractor availability, and infrastructure requirements.

Semester Blackout Periods
To prioritize academic readiness and ensure smooth campus operations, certain types of work are strictly paused during the weeks leading up to each semester.
4 Weeks Before Semester Start
Furniture & Space Projects Blackout
No new installations or work involving furniture, space reconfigurations, or physical layout changes may occur during this period.
2 Weeks Before Semester Start
Personnel Move Blackout
All personnel and office relocations are paused to prevent operational disruption leading into the start of the semester.

Who can place an office move request?
Move Requests can only be placed by pre-approved employees who have undergone move’s training.

What is Considered a Moves Request?
Employee Move: This is a request to move an existing employee to a different office
New Employee Move: This is a request for when an office needs to be set-up for a new employee. This type of move request will include the set-up of a computer and office phone (if applicable) for the new employee.

Asset Move: For when only phone, computer, printer devices and/or other ITS assets are being moved. It should be noted that an asset move isn’t needed to move furniture, but furniture can be included in an assess move.

Move Blackout Dates:
Moves cannot be scheduled during the Move Blackout dates, these dates are dependent upon the academic calendar which can be found here.
January: First week
March: Limited availability of moves during the last two weeks of March (Year-End)
April: Exam week (including the day before the first exam and day after the last exam)
May/June: ConvocationAugust: Last 2 week - NSO
September: First week - NSO
December: Exam week (from the day before to the day after exams) and University Holiday Closure (24-31)
